1. Oversee and support all administrative duties in the office and ensure that office is operating smoothly. 2. Manage office supplies inventory and place orders as necessary. 3. Perform receptionist duties: greet visitors, and answer and direct phone calls. 4. Receive and sort incoming mail and deliveries and manage outgoing mail. 5. Develop office policies and procedures, and ensure they are implemented appropriately. 6. Assist with office layout planning and office moves, and with managing and maintaining IT infrastructure. 7. Manage office budget. 8. Identify opportunities for process and office management improvements, and design and implement new systems. 9. Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports.
Desired Candidate Profile
They will need to come with: 1. 3 to 5 years of work experience. The experience could be in an Executive Assistant position to Senior Management in a company or as a senior manager/manager in an administrative/office management role. 2. Should be able to manage multiple tasks across Greypath and its group companies which could include admin work, along with any business-related coordination/paperwork/putting together/writing documents for the Managing Partners of the company. 3. They are also expected to understand what Greypath, and its group companies offer so that they are able to expertly service any customer calls that might come in. 4. Ability to multitask and manage several responsibilities across Greypath and its group companies. 5. Needs to be good with spoken and written communication, draft emails, answer customer queries and calls. 6. Should be able to write and make edits on documents, contracts, agreements etc. 7. Knowledge of Office Administrator responsibilities, systems, and procedures. 8. Must have an eye for attention to detail. 9. Strong organizational and time management skills, and ability to priotitize. 10.Strong problem-solving skills and analytical abilities. 11.Must be proficient with excel, word, communication tools like slack, Microsoft teams and Google products etc. Need to be great with spoken and written communication skills .
